At Tenbix (“Company”, “we”, “us”, or “our”), we respect your privacy and are committed to protecting the personal data and operational information of our users, logistics providers, freight forwarders, cargo agents, and shipping partners.
This Privacy Policy explains how Tenbix collects, uses, discloses, and protects your information when you access or use our website (https://tenbix.com), software-as-a-service operating platform, mobile applications, customer tracking portals, and AI agent services (collectively, the “Platform” or “Services”).
Please read this Privacy Policy carefully. By creating an account, accessing, or using the Platform, you acknowledge that you have read, understood, and agreed to the practices described in this policy.
1. Information We Collect
We collect information to provide, maintain, and improve our logistics platform, deliver multi-carrier shipment tracking, power AI tools and features, and facilitate billing.
1.1 Account & Profile Information
When you register for a Tenbix account, we collect basic account details necessary to establish and secure your identity, including:
- Name and business name
- Email address and phone number
- Login credentials and authentication identifiers
- Account preferences and settings
1.2 Customer & Operational Data
To enable logistics operations and multi-carrier container tracking, you provide data that may include:
- Ocean container numbers, bill of lading (B/L) numbers, and booking references across carriers (such as MSC, Maersk, CMA CGM, Hapag-Lloyd, COSCO, Evergreen, ONE, HMM, Matson, OOCL, PIL, Wan Hai, Yang Ming, ZIM, and others)
- Custom tracking metadata fields (e.g., customer names, agent names, internal reference numbers, purchase orders)
- Content submitted to AI agents, including instructions, business profile details, logo preferences, and website copy inputs
1.3 Payment & Billing Information
Subscription payments and credit top-ups are processed securely through authorized third-party payment gateways, merchant-of-record services, and subscription management platforms:
- Web Payments: Processed by Paddle, acting as our Merchant of Record.
- Mobile Purchases & In-App Subscriptions: Processed through the Apple App Store (iOS) and Google Play Store (Android), verified via RevenueCat.
Tenbix does not store or directly handle raw credit card numbers or sensitive payment card data on our servers. Payment processors collect and handle billing details according to their respective privacy policies.
1.4 Opt-In Analytics & Crashlytics Data (Consent-Based)
- Disabled by Default: By default, Tenbix does NOT collect analytics or crashlytics data from your device or account.
- Opt-In Approval: Upon your explicit consent and approval (which can be granted or revoked at any time in your account settings), we may collect limited technical usage statistics and diagnostic crash reports.
- Purpose of Collection: When enabled, this diagnostic data is used strictly to improve service reliability, optimize platform responsiveness, provide responsive customer support, and ensure rapid bug resolution.
2. How We Use Your Information
We use the information we collect strictly for legitimate business and operational purposes, including:
- Delivering Platform Services: Fetching real-time shipment updates, maintaining tracking timelines, and operating AI agents (Website Builder and Logo Maker).
- Account Management & Authentication: Verifying your identity, securing login sessions, and managing subscriptions and credit balances.
- Customer Support & Communication: Responding to support inquiries, sending administrative updates, service alerts, and billing receipts.
- Service Optimization & Bug Resolution: Investigating system errors and performance bottlenecks (solely where diagnostic sharing has been approved by the user).
- Security & Fraud Prevention: Detecting, preventing, and addressing security threats, unauthorized access, or policy violations.
- Legal & Regulatory Compliance: Fulfilling statutory requirements, tax accounting obligations, and enforcing our Terms of Service.
3. Strict No AI Model Training Policy
WE DO NOT USE YOUR DATA TO TRAIN AI MODELS.
Tenbix respects the confidentiality and proprietary nature of your logistics data and brand assets.
- Your Customer Data, container records, and uploaded assets are never used, shared, or licensed to train, fine-tune, or retrain public or proprietary artificial intelligence or machine learning models (including models operated by Tenbix or third-party providers).
- AI feature processing (such as text generation or website copy creation) is strictly operational, executed solely to fulfill your requests.
4. How We Share Data & Third-Party Subprocessors
We DO NOT sell, rent, or trade your personal or business data to advertisers, data brokers, or third parties.
We share data only with trusted third-party service providers (“Subprocessors”) that are strictly necessary to run our infrastructure, process payments, and power Platform features. All subprocessors are bound by contractual confidentiality and data security obligations.

- Prevent or investigate potential fraud, security breaches, or technical violations.
5. Data Security Standards
Tenbix employs rigorous technical, physical, and organizational security measures designed to protect your data against unauthorized access, loss, misuse, or alteration:
- Encryption in Transit: All data moving between your device, customer portals, and our servers is encrypted using modern Transport Layer Security (TLS 1.2+ / SSL) protocols.
- Encryption at Rest: Stored data, including database records in Google Cloud Firestore, is protected using industry-standard AES-256 encryption at rest.
- Multi-Region Safeguards: Infrastructure data is replicated across multiple secure geographic cloud regions to prevent data loss and ensure high availability.
- Strict Access Control: Access to production systems is restricted to authorized personnel operating under strict zero-trust security controls.
6. Account Deletion and Data Retention Policy
6.1 Account Deletion
You can delete your Tenbix account at any time directly within your account settings on the Platform, or by submitting a written request to support@tenbix.com.
6.2 Immediate Deletion of Personal & Operational Data
Upon confirming your account deletion:
- All your personal data, profile information, account configurations, customer records, shipment references, and custom metadata are immediately and permanently erased from our active production databases.
- Hosted websites created using the AI Website Builder and customer tracking portals are immediately unpublished and deactivated.
6.3 90-Day Retention for Logs, Analytics, and Crashlytics
While active account data and personal records are deleted immediately upon account deletion:
- System operational logs, opt-in analytics data, and crashlytics error reports may be retained in secure backup/archival stores for up to ninety (90) calendar days following account deletion.
- Purpose of 90-Day Archive: This temporary retention period is strictly maintained for security auditing, fraud detection, preventing system abuse, verifying system integrity, and debugging software defects.
- Permanent Purge: Upon the expiration of the 90-day retention period, all remaining logs, diagnostic metrics, and crashlytics entries are permanently destroyed or fully anonymized beyond recovery.
6.4 Subscription Inactivity Grace Period
As outlined in our Terms of Service, if your subscription expires or is canceled without immediate account deletion, your data remains safely stored in a read-only state for up to ninety (90) days to allow for seamless resubscription. If you do not resubscribe or request data export within 90 days, all account data is permanently purged.
7. Your Data Rights & Privacy Controls
Depending on your geographical location (such as under the EU General Data Protection Regulation / GDPR, UK GDPR, California Consumer Privacy Act / CCPA/CPRA, or other privacy laws), you have specific rights regarding your personal information:
- Right to Access & Portability: Request a copy of the personal data and Customer Data we hold about you in a structured, machine-readable format.
- Right to Correction: Update or correct inaccurate or incomplete account information directly in account settings.
- Right to Erasure (“Right to be Forgotten”): Request full deletion of your account and personal data.
- Right to Withdraw Consent: Enable or disable opt-in analytics and crashlytics reporting at any time via your account settings.
- Right to Restrict or Object: Object to or restrict certain processing activities where applicable.
Under the California Consumer Privacy Act (CCPA/CPRA), California residents have the right to opt out of the ‘sale’ or ‘sharing’ of their personal information. Tenbix does not ‘sell’ personal information, nor do we ‘share’ personal information for cross-context behavioral advertising. We also limit the use of Sensitive Personal Information strictly to perform expected platform services.

8. Children’s Privacy
The Platform is designed strictly for commercial logistics businesses and is not intended for use by individuals under eighteen (18) years of age. We do not knowingly collect or solicit personal data from children. If we discover that a child under 18 has provided us with personal information, we will immediately delete such data.
9. International Data Transfers
Tenbix operates globally. Information we collect may be transferred to, stored, and processed in secure data centers located in the United States or other jurisdictions where our cloud subprocessors maintain facilities. By using the Services, you consent to the transfer of information outside of your country of residence, subject to appropriate technical safeguards and data protection agreements.
10. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our platform practices, technology stack, legal obligations, or operational updates. When changes are made, we will update the “Last Updated” date at the top of this policy and, for material revisions, notify you via email, in-app notification, or a prominent banner on the website. Your continued use of the Platform after the effective date of revised terms constitutes your acceptance of the updated Privacy Policy.
